Configuration

Complete the studio profile, branding and communications before generating the first timetable. Timetable years, backups and user access are also managed here.

Dance studio profile

Required contact and location details used throughout StudioSync.

Default Availability Hours

These are the studio-wide hours used whenever Always Available, Available Every Day, Every Day or All Day is selected. They also define the normal timetable day range.

Default: 7:30 AM to 9:30 PM. Change these hours to match the normal operating day for this dance school.

Term Dates & Public Holidays

Set the four teaching terms once. Every class in this timetable follows these dates.

Term 4

Timetable years / projects

Each year has its own timetable. Switching projects changes the active StudioSync year without changing or deleting other years.

Clone current timetable for a new year

Studios, availability, dance styles, teachers, classes and teacher approvals are copied. Timetable locks are cleared. Students are optional.

Normally leave this unticked so the new enrolment list starts empty.

Studio branding

A studio logo is required before the first timetable can be created.

No logo uploaded
PNG, JPG or WebP, maximum 3 MB.

Communications

StudioSync manages email delivery centrally. No SMTP server, username or password is required from the dance studio.

Emails will be sent from:

Replies are sent directly to the real studio email below.
Use the real email address monitored by the dance studio.
Available placeholders: {timetable_name} and {student_name}.

My Account & Security

Manage the authenticator and recovery codes for your own StudioSync account. Sensitive MFA changes require your current password plus a current authenticator code or one unused recovery code.

Multi-factor authentication: Loading…

Users & permissions

Owners and Administrators can manage users. MFA status is shown below. Owners can reset Administrators and other staff; Administrators can manage Timetable Manager / Read Only MFA. Studio Owner MFA can only be reset by StudioSync Platform Administration.

Backups

A backup is created automatically before changed data is overwritten. Backup retention is controlled by the StudioSync platform data-retention policy.

Audit Log

Security and activity history for this dance studio. Audit records are append-only in StudioSync and each record is checked for integrity.
Privacy: batch timetable emails are sent as separate messages. Each parent/guardian receives only the timetable for their own child.

Timetable rules

These rules help StudioSync create practical timetables, not just technically valid ones. Teacher classes are preferentially grouped together, and long teacher/student gaps are highlighted for review.

Timetable locks

Only the class is mandatory. Add teacher, studio, day or a time window when those items must be constrained. Exact locks created from an existing timetable remain fixed to their exact start time.

Uses the same start/finish time controls as availability. When enabled, the complete class must fit inside this window.

Create and Edit TimeTable

Create a working timetable, review and resolve issues, then save it as the live timetable shown on the Dashboard. After a live timetable exists you can continue experimenting here without changing what staff see on the Dashboard until you explicitly publish the new version.
